How to Track GCash Payments for a Car Rental Business

To track GCash payments for a car rental, record the same five details on the booking every time: the amount, the sender, the reference number, the date and time, and the receipt. Verify the payment in your own account before you confirm, and keep the deposit separate from your income.

Most car rental owners get paid through GCash, Maya or bank transfer and a screenshot in Messenger. It works until you cannot tell which payment belongs to which booking, or a customer says they already paid. A few habits fix that.

1. Record five things every time

For every payment, write down the same details, on the booking itself and not in a separate chat:

  • The booking it pays for
  • The amount
  • The sender's name or number
  • The reference number from the receipt
  • The date and time, with the receipt attached

The reference number is the most useful of the five. It is unique to the transaction, so it stops the same screenshot being used twice.

2. Keep the deposit separate from revenue

A security deposit is not yours until the rental ends without a deduction. If you count it as income on the day it arrives, your numbers look better than they are and refunds become a cash problem. Record the deposit as money held, then release it back or move only the part you keep, such as a damage or late-return charge, into income.

3. Verify before you confirm

A screenshot can be edited, so do not confirm a booking on the screenshot alone. Open your own GCash account or statement and check:

  • The money has actually arrived
  • The amount matches what the booking needs
  • The sender matches the customer
  • The reference number has not been used on another booking

Only then mark the payment as received and confirm the booking.

4. Say who verified it

If more than one person handles bookings, record who checked each payment and when. It makes questions easy to answer later and discourages shortcuts.

5. Handle partial payments

Customers often pay a deposit first and the balance later. Record each payment as its own entry against the booking, and show the remaining balance. Never overwrite the first payment with the new total, or you lose the trail.

6. Reconcile every week

Once a week, take your GCash or bank statement and match every incoming payment to a booking. Anything on the statement with no booking, or a booking marked paid with no matching payment, needs a look. A weekly check finds a mistake in days instead of months.

7. When something does not match

Decide your process in advance so you are not improvising with a customer waiting:

  • Short payment: ask for the balance before releasing the car
  • Overpayment: record it and refund or credit it, in writing
  • Reference number already used: do not confirm, and ask for a fresh receipt
  • Payment not showing: wait for it to arrive, and do not hold the customer responsible while you check

Frequently asked questions

How do I confirm a customer really paid by GCash?

Check the payment in your own GCash account or statement, not only the screenshot the customer sends. Match the amount, the sender and the reference number, and confirm the reference number has not been used for another booking.

What should I record for each GCash payment?

Record the booking it belongs to, the amount, the sender's name or number, the reference number, the date and time, and keep the receipt screenshot attached to the booking.

Should the security deposit count as income?

No. A refundable deposit is money you hold for the customer, so record it separately and move only the part you keep, for example for damage or a late return, into income.

Can CarRentSaaS track GCash payments?

Yes. Customers upload their payment proof to the booking, and you review it and confirm the payment in your dashboard. The proof and the payment record stay on that booking.
