Customize your booking form: fields, options, prices and per-vehicle forms

Every vehicle uses a default booking form with pick-up, drop-off, destination and purpose of travel. You can mark each field required, optional or hidden, add your own questions such as a flight number, put a price on options, show a field only when it applies, and give particular vehicles their own form. Customize Booking is available on plans that include it.

The default booking form

Open Customize Booking in the fleet menu and choose Edit standard fields. The default form applies to every vehicle that does not have its own form. Pick-up and drop-off are always asked, so they stay Required. Destination and purpose of travel can each be Required, Optional or Hidden, and you can drag the fields into the order customers see.

Add your own questions

Custom location fields are extra questions such as a flight number, passenger count or a pick-up date. Choose the type that fits the answer:

  • Short text, long text, number, email, phone or yes / no.
  • Date, time, or date and time, which can also ask for a start and end instead of a single point.
  • Location, a free-text address with map suggestions like pick-up.
  • Dropdown, radio buttons or checkboxes, for a list of choices.

Put a price on options

For a dropdown, radio or checkboxes field, each option can carry a fee. When the customer picks it, the fee is added to their price summary and the booking, which suits extras such as a child seat or an after-hours pickup. The built-in location fields can also be shown as a priced list.

Show a field only when it applies

Use Only show when to hide a field until an earlier answer calls for it, for example a flight number only when the pickup is the airport. A field can have up to five rules, met either all at once or any one of them. A field with no rule always shows.

Give some vehicles their own form

  1. In Customize Booking choose Add Booking Form.
  2. Name it and choose the rental option it is for: self-drive, with driver, both, pickup and drop-off, or all.
  3. A form is either built on the standard fields or a blank form that asks only pick-up, drop-off and your own fields. The form list shows which each one is.
  4. Assign the vehicles that should use it and set it to Active. A Draft form is not used, and its vehicles stay on the standard fields.

Duplicating and deleting

Duplicate a form to start a similar one. Deleting a form sends its vehicles back to the standard fields, and existing bookings are not affected.

Flat-rate routes

The same screens hold flat-rate routes for pickup and drop-off bookings, which charge a fixed fare for routes you run often. See the pickup and drop-off transfers article.

Frequently asked questions

Who can change the booking form?

Owners and managers. Staff cannot edit booking forms.

Do changes affect bookings I already have?

A change applies to bookings made after you save it. Deleting a form does not affect existing bookings.

Which plans include Customize Booking?

It is part of the plans that list it, so check the pricing page. Plans without it use the standard fields.
